HaulageBoard

Privacy

HaulageBoard Group is the data controller for HaulageBoard. This page says what we hold and why, in plain words.

What we hold

Your email, name, company name, phone number, the firm's trading and registered addresses, and the photo ID and proof of address you give us when you apply. For movers, vehicle classes, saved lanes, insurance and licence documents. For every load, the addresses, dates, prices, messages, proof of delivery and invoices. Payment card details are handled by Stripe and never touch our servers.

Why we hold it

To run the marketplace: matching loads to movers, recording what is owed between the two parties, billing our own fees, verifying that every firm is who it says it is and that the people carrying goods are insured, keeping a record of those checks for compliance, and keeping the paperwork both sides need for their records.

Who sees it

Messages on a load are between the two firms on it. Our team can read them when looking into a problem, a dispute or a breach of our terms, and we record who did and when.

Phone numbers are shared between the two sides of a load only once it is booked. Which firms are on the board is not published: a firm's page, with its completed load count, rating and area, is for the people who run the site. Other members see your trading name and membership number when they look you up, and your name reaches the other side of a load when it is booked. Nothing else is published and we do not sell data.

Analytics and advertising

We use Google Analytics and PostHog to see which parts of the site work, and Google Ads to show our adverts to people who have visited, on Google and on sites Google works with.

Nothing of that starts until you agree. When you arrive, Google's tag loads with every kind of consent set to refused. It sets no cookies and nothing is used for advertising. It does send Google a note that a page was viewed with consent refused, without a cookie or anything that identifies your browser, which is how our totals stay roughly right without tracking anybody who has not said yes.

If you press That is fine, Google Analytics sets cookies to count visits and see how people move around the site, PostHog does the same for how the product is used, and Google Ads can add your browser to a list of visitors so our adverts can be shown to you elsewhere. Where you are signed in to a Google account and have allowed it, Google may connect that visit to your account, which is what Google calls Google signals. You can see and delete that at myactivity.google.com, and turn off personalised adverts at adssettings.google.com.

If you press No thanks, none of that runs, and nothing on this site breaks.

Separately, our hosting provider, Vercel, counts page views for us whatever you choose. It sets no cookies and stores nothing on your device. It tells one visit from another with a code made from your request that changes every day, so it cannot follow you from one day to the next or across other sites. We remove anything private from the page address before it is counted.

You can change your mind at any time from Cookie settings, which is at the bottom of every page on the public site and in your account menu once you are signed in. Choosing again switches everything back off until you answer.

Your rights

You do not have to ask us for either of these. Both are buttons in your settings, and neither needs our permission.

A copy of everything. Every completed load, its record and its POD, in one file, whenever you want it.

Closing your account. This erases your name, email address, phone number, company details and the documents you uploaded. Completed jobs stay on the system with no name against them, because the firm on the other side of each one needs their own record of work they did, and invoices tied to completed payments are kept for six years because tax law requires it. Nothing left behind points back to you.

We will not close an account in the middle of a job, or while money is still owed either way, because that would leave the other party with a record they cannot act on. Settle up and it goes through straight away.

Anything else, or if you would rather a person did it, tell us and it reaches one.
